Job Description

IT LAND is hiring a Full–Time On-Site competent Executive Secretary for Alexandria’s Kafr Abdou location, to provide essential support to the company’s management. You will play a crucial role in performing the delegated tasks from management and ensuring smooth and continuous operations in a calm & healthy office environment as well as performing various administrative tasks.

As an Executive Secretary, you must possess exceptional time-management and multitasking skills to handle multiple responsibilities efficiently. Good computer skills will be helpful especially in the high end software development & international nature of the company. Your diligence and competence will allow management to focus on his managerial duties without distractions.

Your primary objective will be to enhance the overall efficiency of our business by ensuring the timely and efficient completion of all assigned administrative tasks.

Key Responsibilities:

  • Maintain management’s agenda and assist in scheduling, attending, taking minutes of meetings and follow up on actionable items as needed.
  • Performing the delegated tasks from management in priority and timely fashion.
  • Handle and maintain communications with top clients on behalf and as directed by management to meet the company's goals and objectives.
  • Receive and Handle messages, emails, phone calls, letters and packages and redirect them when appropriate.
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Manage office supplies and keep office expenses within the appropriate budget.
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned

Qualifications:

  • Proven experience as executive assistant or similar administrative role
  • Proficient in MS Office (Word, Excel & Powerpoint) and ability to adapt and learn other software programs if needed.
  • In depth knowledge of office management and basic accounting (bookkeeping).
  • Familiarity with basic research and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Degree in business administration or relative field

  • Leadership Skills and Ability work independently.
  • Can get tasks done well and on time without supervision or follow-up.
  • Loyalty to the company and keeping its interests as your top priority.
